Business email: what it is and how to get yours (no corporation required)

It has happened to almost everyone: you are filling out a supplier form, requesting a quote or opening an account, and there it is: "business email required". The phrase conjures an office tower, a front desk with visitor badges, an IT department. If your business is two people and a storage room, it is easy to conclude that this is not for you.

The reality is far simpler. A business email is an email address on your own business's domain. If your business is Aroma Coffee and your domain is aromacoffee.com, then hello@aromacoffee.com is a business email. That is the whole thing. No certificate, no paperwork, no minimum company size.

What it is exactly (and what it is not)

What makes it a "business" email is not the size of the business but the address: it ends in your domain, not in a free provider's. That is where the two things people actually mean when they ask for one come from:

• The address carries the business's name. Whoever sees it knows immediately who they are talking to, and can visit yourbusiness.com to check.
• The address is yours. The domain is registered to you, so the address leaves with you even if you switch email services someday.

And what it is not:

• It is not a company size. A one-person business qualifies exactly like a two-hundred-person one.
• It is not an office suite. You do not need to buy a giant bundle of applications to have one.
• It is not paperwork. There is no official registry of business emails and nobody "issues" them. You simply have one.

Anyone can create a free email address in two minutes, with no real name and no trace. An address on its own domain, by contrast, is anchored to something: a registered domain, a website, a business that can be looked up.
